We are seeking an experienced and highly organized Executive Administrative Assistant to provide top-notch administrative support to our co-founders, who serve as the Chief Executive Officer (CEO) and Chief Development Officer (CDO). The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills. This role requires a high level of discretion, professionalism, and the ability to handle a variety of tasks in a fast-paced environment.

Description

Responsibilities

Calendar Management: Manage the CEOs and CDOs' calendars, efficiently scheduling meetings, appointments, and travel arrangements. Ensure all attendees are informed and prepared.

Communication Hub: Serve as the first point of contact for the CEOs and CDOs, effectively screening and directing phone calls, emails, and inquiries.

Meeting & Travel Coordination: Organize and manage all meeting logistics, including agendas, minutes, and room reservations. Facilitate domestic and international travel arrangements for the CEOs and CDOs.

Project Management: Proactively manage and prioritize the CEO and CDO's to-do lists and deadlines. Assist the CEOs and CDOs with various projects, ensuring timely completion and adherence to deadlines. Prepare presentations, reports, and other documents as needed.

Problem Solving: Anticipate the needs of the Co-founders and proactively address issues. Provide solutions and handle unexpected situations efficiently.

Support Team Efficiency: Assist in streamlining processes and improving efficiency within the leadership team. Provide support to other leadership team members as needed.

Confidentiality & Discretion: Maintain the utmost confidentiality regarding sensitive information and business matters.

Qualifications:

  • Minimum 3-5 years of experience as an Executive Assistant or similar role.
  • Proven ability to manage multiple tasks simultaneously and prioritize effectively.
  • Excellent organizational skills with a keen eye for detail.
  • Strong communication, interpersonal, and writing skills
  • Ability to maintain a professional demeanor and discretion.
  • Proficiency in Microsoft and/or Google Docs
  • Ability to learn new software and adapt to a fast-paced environment.

Salary

$60,000 - $75,000 per year
